Terms of service

Verivexa Terms of Service & Product Licence

Last updated: 2 October 2026

These terms apply to downloadable Verivexa products and subscriptions to the Verivexa online platform.

Different access arrangements apply:

  • Downloadable products: a licence to use the purchased version for one organisation, without a fixed expiry date, subject to these terms.

  • Platform subscriptions: access to the online service for one organisation during its paid subscription period.

Please read these terms together with the relevant product description, checkout information, Privacy Policy and Refund Policy.

For questions, contact support@verivexa.co.uk.

1. Single Organisation Licence

Unless the relevant product description expressly states otherwise, each toolkit purchase or platform subscription is for one purchasing organisation or legal entity, for its own internal business purposes.

The licence is non-exclusive, non-transferable and non-sublicensable.

You are purchasing permission to use the relevant resources or service. Ownership of Verivexa’s underlying intellectual property is not transferred to you.

If you purchase or subscribe on behalf of an organisation, you must have authority to do so.

2. Downloadable Products — Permitted Use

For downloadable toolkits, templates and guidance purchased from Verivexa, your organisation may:

  • Download and securely store the purchased resources.

  • Edit and customise templates.

  • Add its branding, policies, processes and information.

  • Change document references and numbering.

  • Adapt resources to its management system.

  • Distribute completed or customised documents internally.

  • Make reasonable internal copies and backups.

  • Use the resources to support implementation, maintenance and improvement.

You may also share relevant customised documents with external auditors, certification bodies, professional advisers, supporting contractors, customers and other parties where disclosure is appropriate for legitimate organisational purposes.

This does not give those parties permission to reuse or commercially exploit the underlying Verivexa templates for other organisations.

3. Downloadable Products — Licence Duration and Updates

Subject to compliance with these terms, your organisation may continue using the version it legitimately purchased without a fixed expiry date.

Unless expressly included in the purchase, this does not automatically include future editions, major revisions, additional products or resources released subsequently.

Where updates or replacement versions are offered, their availability and any applicable charges will be communicated separately.

Verivexa may terminate a licence for a material breach that is not remedied where remedy is reasonably possible. Where appropriate, we will explain the breach and provide a reasonable opportunity to remedy it.

Cancelling a platform subscription does not end a separate licence for a downloadable toolkit that your organisation has purchased.

4. Platform Subscriptions — What Is Included

A platform subscription provides access to the Verivexa online platform at app.verivexa.co.uk and the modules included in the subscription description.

The platform supports implementation and ongoing management of an information security management system. Available functionality may include guided implementation, clauses and controls, policies, documents, evidence, registers, risks, objectives, audits, management reviews and reporting.

The product description identifies what is included when you subscribe.

Downloadable Verivexa toolkit packages are separate purchases unless expressly included. Additional standards, consultancy and independent certification are not included unless expressly stated.

Platform templates may be tailored for your organisation using the available functionality. Sharing relevant completed documents for legitimate organisational purposes is permitted, subject to the intellectual property restrictions in these terms.

5. Platform Activation and Accounts

Use the email address you intend to use for your platform account when purchasing.

Access is activated after payment verification. Account instructions are sent by email.

If an activation email does not arrive, check your spam or junk folder, then contact support@verivexa.co.uk with your order reference and purchasing email address.

Your organisation is responsible for:

  • Providing accurate account and organisation information.

  • Keeping passwords and account credentials confidential.

  • Giving each authorised user their own account.

  • Assigning appropriate access roles.

  • Removing access when users no longer need it.

  • Ensuring users act within their authority.

Never send your password to Verivexa support.

6. Subscription Billing and Founding Offer

Platform subscriptions are recurring subscriptions. The price, currency, billing frequency and applicable taxes are shown at checkout.

Unless otherwise stated in the subscription purchased, billing is monthly and renewal continues until cancelled.

The founding organisation offer is £149 per month for the first 25 paying organisations, subject to availability. The price and terms displayed at checkout apply to your purchase.

Purchase a quantity of one for one organisation. Increasing the quantity does not automatically create additional organisation workspaces. If you accidentally purchase more than one, contact support promptly so we can review the order.

Any proposed subscription price change will be communicated before it takes effect, with an opportunity to cancel renewal before the changed charge applies.

7. Cancellation, Payment Failure and Access

You can cancel renewal using the subscription management link supplied with your order or subscription emails. Contact support if you cannot locate or use the link.

Cancelling renewal normally allows access to continue until the end of the period already paid for. Access then ends unless the subscription is renewed.

Cancelling renewal is separate from requesting a refund. Refund requests are considered under the Refund Policy and any applicable statutory rights.

If a renewal payment fails, platform access may be restricted when the paid subscription period ends. Contact support if you believe access has been restricted incorrectly.

Cancellation does not itself constitute a request to delete your organisation’s records.

Before access ends, retain the records your organisation needs using the platform’s available download, print or export functions. Contact support about records that cannot be retrieved through those functions.

Do not assume that access to stored records will remain available indefinitely after your subscription ends. Data retention, deletion and backup arrangements are addressed separately in the applicable privacy and data processing information.

8. Acceptable Use

You must not:

  • Resell, sublicense or redistribute original Verivexa resources.

  • Publish underlying templates for public download.

  • Package Verivexa resources into another commercial template product.

  • Claim ownership of Verivexa’s original content.

  • Use one licence or subscription across separate legal entities without permission.

  • Use the resources as a reusable template library for multiple clients.

  • Share login credentials or give unauthorised users access.

  • Attempt to access another organisation’s information.

  • Bypass access controls or interfere with the platform.

  • Upload malicious software or unlawful content.

  • Conduct security testing against the live service without prior written authorisation.

  • Remove proprietary notices for the purpose of reselling or redistributing original resources.

Verivexa may restrict access where reasonably necessary to address a security threat, unlawful activity or material breach. Where practicable, we will explain the restriction and provide an opportunity to resolve the issue.

9. Consultants, Advisers and Group Companies

Consultants, auditors and advisers may use Verivexa resources or access the platform when authorised to act for the organisation holding the relevant licence or subscription.

That permission does not allow repeated use of one licence or subscription for separate client organisations.

Parent companies, subsidiaries and associated companies that are separate legal entities require their own licence or subscription unless an alternative arrangement has been agreed in writing.

Contact support to discuss multi-organisation or commercial arrangements.

10. Your Information and Customised Documents

Your organisation retains its rights in the original information, branding, records and other content it supplies or adds.

Verivexa retains its rights in its underlying templates, original wording, guidance, methodologies, mappings, software and other intellectual property.

You authorise Verivexa and its service providers to process customer content as necessary to provide, secure, maintain and support the service, subject to applicable privacy and data processing arrangements.

Your organisation is responsible for having authority to upload and use its content, including personal information and third-party material.

Only upload information that is appropriate and necessary for your management system. Do not upload passwords, private keys or other authentication secrets.

11. Privacy and Data Protection

The Privacy Policy explains how Verivexa handles personal information for its own purposes, including account administration, billing, support and service security.

Where Verivexa processes personal information within a customer workspace on behalf of that organisation, the applicable data processing terms govern that processing.

Your organisation remains responsible for determining the purpose and lawful basis of the personal information it places in its workspace, providing required notices and managing authorised access.

Questions about privacy, personal information or deletion requests should be sent to support@verivexa.co.uk.

12. Service Availability and Changes

Verivexa aims to provide a reliable service. Access may occasionally be interrupted by maintenance, updates, third-party failures or events outside our reasonable control.

No specific uptime guarantee or response time applies unless separately agreed in writing.

We may improve or change functionality. Where a change materially affects the service included in your subscription, we will provide reasonable notice where practicable.

Your organisation should retain appropriate copies of important records. Platform backups support service recovery and do not replace your organisation’s own record retention arrangements.

13. ISO Standards and Certification

Verivexa provides independently developed implementation resources and management tools.

ISO standards, trademarks and associated intellectual property remain the property of their respective rights holders.

A Verivexa purchase or subscription does not provide permission to reproduce the official text of an ISO standard. Your organisation should obtain legitimate access to applicable standards.

Purchase or use of Verivexa does not:

  • Constitute or guarantee ISO certification.

  • Guarantee conformity with a standard.

  • Replace operation of an effective management system.

  • Replace an independent certification audit.

  • Make Verivexa your certification body.

Your organisation remains responsible for determining applicable requirements, risks and controls and for implementing, operating and improving its management system.

14. Review and Organisational Responsibility

Verivexa templates and guidance provide starting points and must be reviewed before adoption.

Your organisation is responsible for adapting them to its activities, scope, risks, technologies, suppliers, legal and contractual obligations, responsibilities and existing processes.

The suitability of a template, policy or control depends on your organisation’s circumstances.

15. Refunds and Statutory Rights

The Refund Policy explains how to request a refund and distinguishes downloadable products from platform subscriptions.

Any consumer cancellation rights must be considered separately from cancellation of subscription renewal.

Nothing in these terms excludes or restricts rights or liabilities that cannot lawfully be excluded or restricted.

Where you purchase as a consumer, your statutory rights remain unaffected.

16. Changes to These Terms

The terms supplied at purchase govern that purchase.

Where changes are needed for an ongoing platform subscription, Verivexa will communicate material changes before they take effect and explain when they apply.

Changes do not retrospectively remove the continuing licence granted for a downloadable product legitimately purchased under earlier terms.
